Benefits of the Rotaract|IT Platform
Rotary and Rotaract Clubs both do a lot of good work in the community through the volunteer efforts and donations of their members. In order to maintain their viability and future, both Rotary and Rotaract clubs depend on a study influx of new members, which can be sourced from a variety of locations. Historically, some of the best sources of new members have been the work places and associates of current members but, in more recent years, the Internet has proved an extremely useful medium for club growth.
Equally, Rotary and Rotaract clubs are usually entirely staffed by volunteers, who can only donate so much time a week to the club. By automating as much clerical work as possible and making every process as efficient as possible, the limited time of a club’s members can be spent as effectively as possible.
I’m sure your club regularly holds events, including meetings, free events, or paid events. To maximise impact, every event that our club holds should be advertised via your website, making it easy for club members and potential attendees to discover, understand and attend. The new site can automatically display and sort your upcoming events, and allow potential attendees to register/purchase tickets. Furthermore, the new site calendar can be automatically synchronised with members smartphones, allowing for easier management of multiple events.
Webforms are also really useful. On the Rotaract|IT platform, when you put up an event, or any piece of content, you can optionally add a form that people fill out. This can allow visitors to supply their contact details and specify when they can help out on an event, or enable them to fill out a club survey or questionnaire. All results can be easily exported into Excel, which is much easier than managing a few dozen emails for every event.
From time to time, all clubs need to sell things, be it tickets to an event, membership dues or calendars. Many clubs still rely on cheques and money transfers to operate this sort of functionality, which takes up valuable time. By integrating eCommerce functionality into your website, your club can avoid having to decide what payment platform to use on a case-by-case basis, and just use a single, unified payment platform which stores invoices and sends emails in a uniform way.
All clubs do a lot of interesting things, such as holding successful events, visiting community activities, or attending international events and conferences. Things like this should be posted on our website as they happen so that visitors can see what you’ve been up to, and so that an effective archive of our previous accomplishments can be created. The Rotaract|IT plaform contains functionality to easily post news articles, allowing any member with appropriate access to regularly update it.
A huge part of maintaining the health of our club comes from the management of members and potential members. It’s critical that our members stay engaged in our activities, and that the leadership of your club have a clear list of your club’s current members and their contact details.
In clubs and community organisations in general, this can be rather difficult. Newcomers can come to meetings without any formal registration and can eventually become eligible for membership, while existing members cans pontaneously stop attending events, and essentially leave your club without any formal process. Having a centralised list of member details, which members themselves can update, makes it extremely easy to have a high level of visibility of your clubs health.
The site can even be used to mark attendance of members, allowing you to see which members are actively participating, and which members may be at risk of dropping out.
Your club can engage the general public in interesting activities through displaying photos of past events. This helps show potential members the sort of activities that your club gets up to, and helps maintain an archive of your past
events. In order to help turn website visitors into club members, it’s important to regularly upload photos of your club.
Your site allows members with appropriate access to easily and quickly upload entire photo albums, and will automatically resize and prominently display them on your site.
You would be surprised by how much your club could benefit from an email embedded (not attached as PDF) newsletter that is smartphone compatible and able to be sent via proper email management software. A proper email newsletter will help keep our members and potential members engaged by keeping them abridged of upcoming events, recent news and important projects, while preventing us from overloading inboxes with multiple emails.
By creating a simple ‘sign up’ form on your website, and publicly archiving your newsletters, visitors can see the sort of activities our club runs, and get a deeper understanding of what our club has to offer.
Standard and Open-Source
The Rotaract|IT platform was built on top of the Drupal Content Management System, one of the world’s largest open source projects. All code used in the system is open source, making it free to use and modify. Should your club eventually wish to transition away from our website, that’s simple. Additionally, our documentation means that when prominent members leave your club, they don’t take the capacity to manage your website with them.
